EA to Senior Partner, Private Equity

Your primary role would be to support the Partner and a small team of two other investment professionals by providing high-level administrative support. In addition to your EA role, you will also provide some additional support to the Office Manager to ensure the smooth running of the lovely office in the heart of Mayfair. Your responsibilities will include, but are not limited to: Executive Assistant duties:

  • Complex diary management - scheduling of meetings (including VC) and management of multiple diaries

  • Manage scheduling of monthly board/trade updates for various Portfolio Companies

  • Accurate and timely production and submission of expense reports via Concur, ensuring all expenses are allocated correctly.

  • Coordination and management of internal and external executive meetings, catering, dial-ins, video conference set-up, meeting materials

  • Assist with management of the CRM database, including data entry, reporting and

  • ensuring accuracy of information therein

  • Support the Senior Investment Professionals in the preparation and review of documents and presentations - to include printing and binding

  • Provide back-up support to other Executive Assistants as needed

  • Project co-ordination, events

  • All other ad-hoc secretarial matters

General Office Support:

  • Ensure that office policies and procedures are in line with company specifications

  • Liaise with IT Manager on all IT matters and be the first line of response for investment team IT-related queries

  • Ad-hoc duties to support the Office Manager and, where relevant, the CFO, which will be allocated based on skillset

Knowledge / experience skills:

  • Minimum 4+ years Assistant experience

  • Previous experience in a Private Equity, Investment Banking or Strategy Consulting Firm advantageous (fast paced)

  • Previous experience or proven familiarity of technical/business terms relating to the Private Equity industry

Skills:

  • Professional level knowledge of MS Office – Outlook, Word, Excel, PowerPoint and a willingness to learn new software (such as VC, CRM and other IT)

  • Ability to quickly assimilate technical terms and represent correctly when producing

  • documentation

  • Proven skills - meeting facilitation, typing business correspondence, etc.

  • Excellent professional written and verbal communication in English

  • Ability to work proactively whilst also taking advice and direction from direct supervisor and the team

  • Ability to interact with other members of the business as well as external parties

  • Must be able to multi-task effectively and yet provide a good service

  • Ability to work well with deadlines and under pressure

  • Fluency in German, Italian or Spanish would be an advantage
